How to determine the best cloud-based CRM for your small business
We’ll focus on cloud-based CRMs tailored for residential and commercial service businesses because we specialize in supporting the trades. Our founders previously owned service businesses so they bring a wealth of first-hand experience to this discussion. There are a few CRMs with some raving fans but there isn’t a perfect CRM out there. A CRM can’t be all things to all people.
The right (or wrong) CRM can make or break your business, and it is NEVER easy or cheap to switch so put some time in now to research. With so many options available, how do you determine the best fit for you?
What CRM Features Does Your Business Need?
First, it’s important to figure out the features that your business needs. Let’s assume you’re looking at a cloud-based CRM. Now, let’s continue. Top of mind considerations could include: lead management, sales tracking, email marketing, customer support, scheduling, routing (not necessarily the same thing as scheduling), work orders, invoicing, ease-of-use for your field staff, sales capabilities, mobile-friendly, inventory (if applicable), and let’s not forget price.
The better you can define your needs, the easier it’ll be to choose a CRM that makes sense for you. Two things to note on pricing.:
1. A CRM is an investment.
The right one will help you scale. You might be paying-up for additional features but they could pay for themselves, such as optimized routing, modules to up-sell current clients, appointment notifications with technician bios, and more.
2. Review the Terms.
The other thing to note on pricing. Watch out for terms. At FRAXN, we have a 30-day notice. We just ask to give us a chance to make things right if you’re not happy with our service. Some CRMs lock in with recurring 12-month contracts. Long-story short, you’re going to be paying for a CRM that you’re not happy with.
Which CRM is Best For Your Business?
Next, it’s time to start evaluating CRM providers. Fortunately, most companies offer free trials and demos which allow you to test the CRM’s functionality and see if it meets your requirements. Pay attention to the user experience and how well it fits your workflow. You’ll also want to look at the level of customer support the provider offers. Ask the person doing your demo how the company will respond should you have a question or a problem. Is there live chat? 24/7 phone support? A searchable database? All of these things are important to know up front and can help you make a smart decision. Additionally, read reviews and case studies from other small businesses in the home services industry. They can provide insights into how the CRM actually works in the real world.
Get your team’s input on the CRM as well. You’re not the only one who will be using the CRM, which is why it’s a great idea to involve your team in the decision-making process. Get their feedback on the CRM’s usability and functionality. Their input can provide valuable insights and ensure a smoother transition. If it’s not a good fit for them, it may not be the right option for you.
I’d ask how they’ll protect your data. Your customers’ data is invaluable and protecting it should be a top priority. Look for features like encryption, secure data storage and compliance with data protection regulations.
